Job Summary

Provides administrative support to the Physical Plant department.

Responsibilities

  • Manages help tickets and work orders for physical plant department.
  • Receives, reads and routes incoming mail to department staff.
  • Maintains files of correspondence and other records.
  • Answers routine questions or routes calls to appropriate staff members.
  • Schedules appointments and keeps appointment calendar for staff; makes travel arrangements.
  • Research prices on material needs of department and prepares purchase requisitions or calls in orders. Does follow-up on orders to ensure timely delivery.
  • Gathers time cards, reviews for correctness, and submits to payroll office.
  • Maintains issue control of campus building keys.
  • Assists in other areas of maintenance.
  • Manages and coordinates Physical Plant purchases and payments, vehicle fleet management, maintains licenses and certifications, state or other reporting associated with the Physical Plant, and other Physical Plant related duties as necessary.
  • Must have a strong work ethic and lead by example.
  • Must be a professional, credible and respected representative of the institution internally and in the community
  • Demonstrated willingness and ability to act ethically and socially responsible
  • Must be able to lift more than 50-lb. objects; frequent bending, stooping, and walking.
  • Can be exposed to a variety of weather conditions for periods of time.
  • Ability to communicate in a courteous manner
  • Other duties as assigned by Vice President of Operations or his/her designee.

Qualifications

  • Coursework in secretarial science through a high school or college
  • Three years of related clerical experience.
  • Degree in secretarial science may be submitted for two years of experience.
  • Ability to type at least 55 WPM and use ten key calculator.
  • Ability to use word processing & data base worksheets on computer.
  • Strong verbal, organizational and interpersonal skills.
